Student Rollout Information

Approximately 2300 student employees in staff titles will begin using CruzPay on April 24, 2008. This employee population is configured to allow for multiple jobs (or assignments) within CruzPay. Hours worked can be entered for each assignment that is set up in CruzPay, with each timesheet routing to the appropriate supervisor for approval. Supervisors will be approving time on-line; no paper timesheet is required.

Due to specialized time reporting needs, the following units/groups will be excluded from this phase:

  • Dining Services
  • Resident Assistants (RA’s)
  • TAPS Student Drivers
  • Physical Plant with the exception of Fleet Services
  • UARC
  • UCOLick Observatory
  • Silicon Valley Center
  • Students in Academic titles
  • Physical Planning & Construction
  • Most Off-Campus Workstudy Students

It is possible for a student to have multiple jobs, where not all of the jobs are set up in CruzPay. The existing time reporting process in place should continue to be used for any jobs that are not set up in CruzPay.

CruzPay User ID and initial password are e-mailed to the user. All e-mail communication from CruzPay will be sent to your CruzMail (@ucsc.edu) e-mail address.

March 24 : Small pilot group of student employees from Staff Human Resources begin using CruzPay

April 17 - 21 : Email with account information (User ID and initial password) to individual student employees who will begin using CruzPay in April

April 21 – 30 : Email to supervisors of student employees, may include account information (User ID and initial password) if the supervisor is a new CruzPay user

Informational Email to Supervisors

April 24 : Student employees begin recording time in CruzPay for the pay period April 24 – May 23

May 23 : Supervisors begin approving student employees’ hours on-line

May 21 – 25 : Automated emails generated to remind employees and supervisors to submit and approve time records
