Student Affairs Rollout Information

Approximately 550 staff employees in the Student Affairs Division will begin using CruzPay in September 2008. This employee population is currently using a Time and Attendance module in the Student Affairs portal to report time worked and leave taken. On September 3, 2008 these employees will begin to submit and approve timesheets on-line via CruzPay, the UCSC Enterprise Time and Attendance System. On October 1, 2008 staff will be required to submit their September timesheets on-line through CruzPay; paper timesheets will no longer be required.

Due to specialized time reporting needs, the following units/groups will continue to be excluded from CruzPay. Employees working in these units will continue to report time using their current process:

  • Dining Services staff and students
  • Most Off-Campus Workstudy students
  • Staff in Policy Profiles:
    • Patient Care Technical
    • Residual Health Care
    • Registered Nurses
    • Skilled Crafts
  • Staff with multiple jobs (represented by multiple title codes, policy profiles, or FLSA status)

Also note that the following Student Affairs populations who are currently using CruzPay will experience no changes to their time reporting process:

  • OPERS
  • Financial Aid
  • Health Center
  • Student employees

CruzPay Accounts

CruzPay User ID and initial password will be e-mailed to the user on September 2. All e-mail communication from CruzPay will be sent to your CruzMail (@ucsc.edu) e-mail address.

CruzPay Demonstrations

Student Affairs employees are strongly encouraged to learn about CruzPay by attending one of the demonstrations presented by Staff Human Resources. These one-hour demonstrations will include:

  • How to enter time worked/leave taken
  • System accruals and viewing balances
  • Submitting and approving electronically
  • Rejecting timesheets
  • Sending email from CruzPay

There will also be an opportunity to ask questions. Multiple sessions are available both on and off campus. For specific dates, and to register for one of the sessions visit the Student Affairs web site http://sa-web.ucsc.edu/rsvp/

July 18: Heads up email was sent from the CruzPay Office to Student Affairs employees expected to begin using CruzPay in September:

August 29: Email with update about CruzPay accounts and leave accrual balances sent from the CruzPay Office to Student Affairs employees expected to begin using CruzPay in September:

August 29 – 31: Finalize your August timesheet in the Student Affairs portal. It is important that you get this timesheet in on time as it will be used to verify and update your sick and vacation balances in CruzPay.

September 1: Labor Day Holiday. Non-exempt employees can refer to the CruzPay Holiday page located here for more information on entering holiday hours on your timesheet.

September 2: Email with account information (User ID and initial password) sent to individual Student Affairs employees and supervisors who will begin using CruzPay in September.

September 3: Student Affairs employees begin recording time in CruzPay for the pay period September 1 – 30.

September 15: Sick and vacation balances available in the CruzPay system for Student Affairs employees. You can now enter any vacation or sick leave taken during the beginning of September.

September 30: Supervisors begin approving employees’ hours on-line in CruzPay

October 1 - 7: Automated emails generated to remind employees and supervisors to submit and approve time records
