TO: CruzPay Student EMPLOYEES Dear CruzPay Student Employee, We are pleased to welcome you to CruzPay, the UCSC Enterprise Time and Attendance System. You will be using CruzPay to report your time worked beginning April 24, 2008. Your CruzPay User ID and initial password will be e-mailed to your CruzMail (@ucsc.edu) e-mail address between April 17 and April 21. Please note that all e-mail communication from CruzPay will be sent to that CruzMail (@ucsc.edu) account. Effective with the April 24-May 23 pay period, CruzPay will provide you with the ability to submit your hours on-line. When you use CruzPay, all calculations and approvals will be handled electronically; paper timesheets will no longer be required. Of course, you will always have the option to print a timesheet for your personal records. An important requirement for students in CruzPay is that you must submit a timesheet each month even if you have not worked any hours. This process confirms that the timesheet with no entries is correct. Submitting your timesheet electronically indicates to your supervisor that your timesheet is complete and is ready for review and approval. Your supervisor will then review your timesheet on-line and either: 1. Approve your timesheet. This indicates to your Staff HR timekeeper that your timesheet is ready to be audited and finalized. 2. Reject your timesheet. Your timesheet will automatically be reset to "Unsubmitted." You should receive an e-mail from your supervisor, informing you of the rejection and what changes need to be made. Log back into CruzPay, make the corrections, and resubmit your timesheet for supervisor approval.
